User (Custom) filters

Custom (user) filters help user with quick navigation on object grid. There are four types of filters, divided by colours:

  • Role filters
  • Status filters
  • Custom (shared) filters
  • Tag filters

Role filters

Role filters are automatically filled by system according to used roles in workflow (workflow steps). Only roles that are used in any requests and current user has granted rights for them are shown.

Status filters

Status filters are automatically filled by system according to used statuses in workflow (workflow steps). Only statuses that are used in any requests and current user has granted rights for them are shown.

Custom filters

Own filters can be now used to filter requests in object overviews. This functionality works in My Tasks, All Tasks, My Items, All Items overviews.

User can easily subscribes custom filter already created by another user, copy filter or creates a new one. The main difference between those is that subscribed filter can be modify only by user who creates the filter. Copying and creation of filter creates new instance of filter that you can customize.

Subscription of Custom Filter

  1. Click on cog wheel icon on the right side
  2. Choose filter from another user
  3. Click on subscribe icon (eye) to see the filter

Copy Custom Filter

  1. Click on cog wheel icon on the right side
  2. Choose filter from another user
  3. Click on copy icon (two files) to copying the filter
  4. Easily adjust the filter to your needs by click on cog wheel right on the custom filter

How to create Custom Filter

  1. Click on the button Add to add a new filter.
  2. Define name of a filter and set if it will be shared (all users with access to concrete object could use this filter) and a date value(values) of creation of requests that will be filtered by this date and colour of filter. The colour determines position of custom filter (same colours are grouped together).
  3. Go to tab Lines and add lines by which requests will be filtered.
    • At first select object line in the field list.
    • Click on the Add button
      • Select filter type
      • Define value
  4. Provide sorting (optional) for request lines. There are two option for each object line (Ascending / Descending)
  5. In Tab Details define values of system fields that will filter the overview.
    • Set checkboxes:
      • Delegated - if set to „Yes" then records that have been created by delegation will be filtered.
      • New - if set to „Yes“ then records that are flagged as „New“ will be filtered.
      • Overdue - if set to „Yes“ then records that are flagged as „Overdue“ will be filtered.
      • Requestor - if set to “Yes” then records that are currently assigned to role “requestor” will be filtered.
      • Request owner - if set to “Yes” then records that currently have an owner assigned will be filtered.
      • Request watcher - if set to “Yes” then records that currently have a watcher assigned will be filtered.
    • Select system values (more than one value can be selected):
      • Request ID - numeric value that should be filtered
      • Types:
        • Create - only records that have been created by type of creation „Create“ will be filtered.
        • Update - only records that have been created by type of creation „Update“ will be filtered.
        • Update empty – records that have been imported will be filtered.
      • Priority – only records that have selected priority will be filtered.
      • Template – only records that have been created under selected template will be filtered.
      • Action – only records that have been update by selected update action will be filtered.
      • Status – only records that are in selected WF states will be filtered.
      • Role - only records that are assigned to selected roles will be filtered.
      • Assigned to - only records that are assigned to particular user.
  6. Finally click on button Save & Apply or user Enter key on your keyboard to filter the overview.

After filter is applied, the dialog is collapsed. To expand it click on the arrow.

To cancel current filter, click on “Cancel” button or in the “Filter” combo-box list select value None.

Tags representing workflow statuses, roles and user filters can be hidden via Manage filter settings accesible through the cog symbol under the search button.

Tag filters

Tag filters are proper real time data filters. They are automatically generated by Xeelo according to data provided in requests. The reason why they are so fabulous and powerful is that they are created according to data of particular object line. They are automatically adjusted within the requests data.

Tag filter returns requests that have been sent to IIS, not directly from SQL!

At the picture above, there is an example shown. The tag filter is set to object line called Title, therefore user can see all possible tag filters according to data saved in this object line. So from the first request is ABC, from the second request is Title A, from the third request is Title B etc.

Tag filter has to be enabled for object line in Admin section
